Job Summary:

The Retail Project Manager will manage Tenants’ and Landlords’ new installations or refurbishments from inception, ensuring each installation and project is completed in accordance with the Canary Wharf Management Limited design criteria.

Main Responsibilities
  • To initiate projects in liaison with Tenants and their representatives, with precise and prompt follow up on meetings, and documented information in accordance with ISO 9001, 14001 & OHSAS18001.
  • Regularly coordinate with the Building Managers in implementing established design criteria and aesthetic standards.
  • Regularly coordinate with CWL legal department to ensure that any procedures followed in project delivery are reasonable and enforceable under the terms of the leases.
  • Design and maintain a fully coordinated information system for all items relating to tenant designs and fit out and keep records of all lease required information. Prepare and update status reports and programmes.
  • Provide retail hand over support to the management staff of both retail and commercial complexes. This will include delivery of mechanical, electrical plans, specifications and warranties and general assistance as necessary.
  • Regularly coordinate with the follow up on all work orders receivable and billings with accounting personnel.
  • Contribute to and understand the Tenants’ Handbook which outlines the constraints and opportunities for each tenant fit out and update existing handbooks and create new handbooks, as necessary, to embrace new projects.
  • Create and maintain clear lines of communications with the base building construction and design teams to ensure:
    • The base build design is clearly understood by the tenant’s retail team and any design changes are imparted.
    • All tenant requirements are clearly understood and implemented by the base building team.
  • Regularly co-ordinate with the leasing team to ensure that they are fully aware of any design or construction issues which may affect their ability to lease space, e.g.: construction costs for different tenant schemes, changes to merchandise plans etc.
  • Understand, and keep up to date on the base building designs for the public and tenanted retail spaces:
    • Layout
    • Finishes
    • Fixtures
    • Mechanical
    • Electrical
    • Lighting
  • With the Tenants
    • Ensure that tenants are provided with and understood the full set of base build drawings and documentation relevant to their unit, and the Tenants’ Handbook.
    • Manage all communications with the tenants relating to base building and other CWL issues relating to the retail spaces, both public and leased.
    • Meet with Tenants and their designers to resolve issues relating to:
      • Layout
      • Finishes
      • Fixtures
      • Mechanical
      • Electrical
      • Lighting
      • Plumbing
      • Shop fronts
      • Signing and graphics
    • Co-ordinate and manage the design submissions from tenants, ensuring that plans and approvals are received within the prescribed period relating to the lease.
    • Be available to assist the tenants’ construction teams to answer queries and solve design/co-ordination problems as they arise. Maintain a regular inspection schedule to check on both Landlord and Tenant work in progress.
    • When necessary, assist tenants in selecting their contractors, and follow up by establishing appropriate lines of communications with the contractors’ personnel.
    • Oversee and advise Tenants regarding filing and receiving appropriate approvals for all building plans required by the lease and relevant Authorities.

    • Monitor and track Landlord/Tenant billing process that will work within the company’s framework while providing clear cost information to the Tenant. Meet with base building estimators to set standards for Landlord work paid for by the Tenant.
    • Project manage Landlord’s works.
    • Oversee tenant’s fit out to ensure it meets with the local authorities’ requirements and is built in accordance with the drawings.
    • To review and approve payment of the Landlord’s contribution.
    • Coordination of the as built drawings.
What We Require of You

  • Construction or Engineering background is essential.
  • The incumbent must be numerate have concise communicational skills and the ability to motivate/organise staff resources efficiently and effectively.
  • Construction project management in low to medium value projects would be an asset.
  • A relevant degree would be beneficial.
  • Retail experience would be preferential.
