Job Summary:

To provide general assistance to the Senior People and Development Manager and general administrative support to the Personnel Department.

Main Responsibilities

  • To provide advice and guidance to staff members using Workday HCM including assisting with their change of personal details, contract amendments etc and to ensure tasks received in the Workday HCM inbox are dealt with promptly.
  • Assist with recruitment administration, including;
    • formulation of job descriptions;
    • arrange interviews;
    • advertise vacancies internally and externally on the Company website
    • make offers and draft contracts of employment;
    • carry out employment reference checks and World Checks.
  • Take minutes of meetings such as disciplinary and grievance meetings and type up promptly, as required.
  • To assist with the preparation of employment references for current and ex-employees.
  • To assist CSR activities and assist with supporting group wide CSR schemes and projects.
  • To assist with the administration of company benefit schemes.
  • Process departmental cheques and bacs payments.
  • To order and replenish departmental stationery.
  • To prepare contract packs and to ensure there are sufficient supplies.
  • To arrange flowers and condolence letters as and when required.
  • To open, date stamp and distribute mail accordingly within the department.
  • To answer the telephone in a professional and courteous manner and process messages.
  • To assist with general HR queries
  • To carry out any other reasonable duties, as directed by the Senior People and Development Manager.

What We Require of You

  • A Certificate in Personnel and Development or studying towards a relevant a CIPD qualification is essential.
  • Administrative experience is essential. Experience gained in a Personnel environment would be highly desirable.
  • The ideal candidate must have a good working knowledge of Microsoft Office. Experience using HR software, preferably Workday system is highly desirable.
  • Strong inter-personal skills combined with a requirement to ensure confidentiality when appropriate are essential.
  • The ability to manage a varied workload and prioritise, as necessary.
  • The successful applicant must be able to work effectively as a team member.
  • A positive and helpful attitude towards work is essential.
  • The candidate must possess excellent communication and organisational skills.
