Main Responsibilities

  • To assist the Car Park team with general office duties.
  • To refer the Car Park operational and maintenance queries to the relevant Department and to follow up as necessary.
  • To perform various accounting functions as required by the Car Parks Operations Manager/Bookkeeper Administrator.
  • Photocopying and operation of other office equipment including access control systems.
  • To assist in the preparation of Car Park pass cards, monitoring and updating the Car Park Access Control System. Liaising with tenant companies and Independent customers in this audit process.
  • To assist in the timely preparation of the Monthly Management Report and identify inaccuracies.
  • To perform receptionist duties which include answering telephones, intercoms and radio calls.
  • To raise Purchase Order Requests and deal with any queries on M2 in consultation with the Car Parks Operations Manager
  • To administer all holiday requests and absences onto HR Pro for approval by the Car Park Operations Manager.
  • To help maintain and administer the Car Park filing system, as required.
  • To assist with the preparation of producing listings of pass cards, pass card usage, issuing pass cards, cancellation and reconcile statements for tenant companies.
  • To monitor usage of all motorcycle pass cards and maintain log records.
  • To maintain records of all cash coupons and produce complimentary coupons as required.
  • To assist with the permit entry and exit of authorised vehicles by remote from the Car Park office and manage discounts and lost tickets via remote access.
  • To carry out any other reasonable duties as requested by a member of the Car Parks Operations Manager.
  • Responsible for the replenishment of stationery and checking deliveries.
  • To be thoroughly familiar and comply with the Company’s “Health & Safety” policy and procedures.
  • Ability to prioritise in demanding situations and manage time accordingly.
  • To understand the processes for taking cash and credit card and the accuracy of the audit trail with paperwork and receipts.

What We Require of You

  • Previous customer service experience is desirable.
  • Previous experience in an accounting environment would be beneficial.
  • Flexible, organised and calm approach to work is essential.
  • A team player who is hardworking and able to work in a demanding environment.
  • The incumbent must be capable of working on their own initiative.
  • Good communication and organisational skills is essential.
  • Minimum 5 x GCSE grades A-C standard of education.
  • Working knowledge of Microsoft Word, Excel and Access is essential.
