Vertus Tenancy Administrator

Job Summary: Reporting directly to the Head of Lettings, you will ensure that residents (tenants) have the best rental experience and consistently deliver the highest levels of customer service, becoming a Vertus brand ambassador.

The Vertus team will manage all aspects of the Build to Rent assets on the Estate, as well as the initial management during the final construction programme and handover period.

The team will be based on site and will be comprised of a core group of experienced specialists and individual building management members, dedicated to the lettings and management of both the building and the apartments. This team will have a comprehensive track record of delivering excellent service and will be dedicated to meeting the needs of their customers and residents.

The Vertus team will be dedicated to providing a superlative service to residents, 24 hours a day and 365 days per year.

Main Responsibilities

  1. Conducting the tenancy progression process for all new tenancies commencing across 10 George Street, 8 Water Street and Newfoundland.
  2. Conducting referencing.
  3. Liaising with prospective residents during the tenancy progression process.
  4. Preparing draft tenancy agreements for approval and signature by theTenancy Manager.
  5. Scheduling Right to Rent checks with Negotiators.
  6. Registering Deposits, or managing Zero Deposits process.
  7. Sending prescribed information to residents.
  8. Ensuring compliance with all legislative requirements relating to new tenancies.
  9. Conducting renewal process.
  10. End of Tenancy management.
  11. Draft renewal paperwork.
  12. Change of occupancy paperwork.
  13. Keep internal records and systems up to date.
  14. Build good relationships with Building Managers, Concierge and Negotiators.
  15. Inform Move Manager, Concierge & Building Manager of new tenancies.
  16. General office administrative duties.
  17. Any other reasonable duties as required by the Head of Lettings.

Health Safety and Welfare Responsibilities

Environmental Responsibilities
All Staff are required to follow the Canary Wharf Group plc (CWG) Environmental Policies for minimisation of waste and effective energy management as defined in the CWG Environmental Manual and associated documents.

Quality Management Responsibilities
All staff are required to comply with CWG Quality Management System requirements detailed within the Company Quality Manual & Policies, and to ensure that all Procedure; Plans and Forms within InfoBase are effectively implemented to meet the set ISO 9001 Quality Management Standard.

Person Specification
  1. A minimum of Level 3 ARLA qualification is required.
  2. The post holder is required to be tidy and presentable, demonstrate an enthusiastic and positive attitude and a friendly telephone manner at all times.
  3. Be able to work as a team member and to communicate effectively at all levels, both written and verbally.
  4. To have a strong customer focus, high accuracy and excellent organisational and prioritisation skills.
  5. Ability to be self-motivated and work well under pressure in a target driven environment.
  6. An understanding of the Build to Rent market.
  7. An honest and trustworthy individual with an exemplary track record.
  8. The incumbent must have an appreciation of the importance of customer service and how this is applied in the context of Canary Wharf and Vertus.
