Training Coordinator – Fixed Term Contract

Job Summary:  To provide an administrative service across the Group which supports corporate objectives and enables other members of the team to achieve their goals in accordance with good Personnel practice.

Main Responsibilities

  1. Organise and co-ordinate all training events. This includes: arranging dates, venues, room layout, course materials and hiring any necessary equipment. Arranging overnight accommodation for external trainers and co-ordinating the appropriate catering requirements.
  2. Ensure the appropriate enrolment authorisation is obtained on Workday.
  3. To assist the Group Training Manager with the design and delivery of courses, including delivering the company induction for new employees.
  4. Co-ordinate joining instructions and send meeting request for in-house courses.
  5. To greet trainer and delegates on arrival at training courses and provide clear instructions for use of facilities.
  6. Update and maintain a record of the Training Budget across the Group including monthly cross charging.
  7. Ensure accurate financial paperwork is recorded, raise purchase orders, code and process invoices and pass to the relevant department and raise cheques for the Training department.
  8. Ensure specific courses with expiry dates are kept updated and organised in advance.
  9. Maintain an up to date record of suitable training providers and courses to satisfy off the job training requirements and establish long-term sustainable relationships with external training providers.
  10. Maintain and develop the Learning Management System (Workday); upload online modules, identify new e-learning modules, and provide reports to ensure staff are completing online learning.
  11. Update and manage Workday; maintain an accurate record of staff training and development throughout the Group and keep accurate paper-based records where appropriate.
  12. Regularly liaise with departmental managers to maintain a record of available in-house training.
  13. To run Training reports on Workday as and when requested by departmental mangers or Group Training Manager.
  14. Draw up training contracts for employees who have been authorised to attend long term courses.
  15. To assist and support staff and managers to gain their compulsory accreditations.
  16. Maintain the Work Experience scheme and supervise the students within the Training/Personnel Department. Liaise with other departments regarding the students on placement.
  17. To assist the Group Training Manager with the group-wide Mentoring Scheme.
  18. Utilise the Apprenticeship Levy; identify apprenticeships covered under the levy, organise review meetings and maintain records.
  19. Update and maintain filing system on a regular basis.
  20. To assist the Group Training Manager in evaluating the effectiveness of training and development.
  21. To assist the Group Training Manger in developing and updating procedures that will ensure effective quality assurance and continuing of the training function.
  22. Be responsible for organising appraisal training and ensuring maximum return of appraisals in line with ISO9001 requirements.
  23. Support Group Training Manager with any requirements for employees with learning difficulties.
  24. Any other tasks that may from time to time be required to ensure the effective delivery of training within Canary Wharf Group plc.
  25. General and ad hoc organisational duties and projects as directed by the Group Training Manager.

Environmental Responsibilities
All staff are required to follow the CWG environmental policies for minimisation of waste and effective energy management as defined in the CWG Environmental Manual and Company Environmental Plans.

Quality Management Responsibilities
All staff are required to comply with the CWG ISO9001 certified Quality Management System and the requirements detailed within Company Quality Manual, Policies and Procedures.

Person Specification
  1. Previous Training and Development experience is essential.
  2. A relevant vocational qualification, ideally CIPD is essential.
  3. Familiar with Learning Management Systems and e-learning platforms is desirable.
  4. Experience of delivering training is highly desirable.
  5. Intermediate knowledge of Microsoft Word and Excel is essential. Applicant must have working knowledge of formulas.
  6. Excellent attention to detail.
  7. Highly organised with strong prioritisation skills and ability to multitask.
  8. Excellent written and verbal communication.
  9. Must be a team player with a willingness to help others.
  10. Flexible, organised and calm approach to work is essential.
  11. Capable of working on own initiative.
