Training Administrator

Job Summary:  To provide an administrative service to Canary Wharf Management Ltd (CWML) which supports corporate objectives and enables other members of the team to achieve their goals in accordance with good Personnel practice.

The position will involve a considerable amount of data input and filing.

Main Responsibilities

  1. To provide general assistance with organising and co-ordinating training events for staff. This includes: arranging dates, venues, room layout, course materials and hiring any necessary equipment. Arranging overnight accommodation for external trainers and co-ordinating the appropriate catering requirements.
  2. Ensure that all training enrolments are received via Workday with the appropriate authorisation obtained.
  3. Co-ordinate joining instructions for all courses including sending meeting invitations for in-house courses.
  4. To greet trainer and delegates on arrival at training courses and provide clear instructions for use of facilities.
  5. Ensure accurate financial paperwork is recorded, raise purchase orders and code, process invoices and pass to the relevant department and raise cheques for the Training department.
  6. Assist and maintain an accurate record of staff training and development needs identified.
  7. Ensure specific courses with expiry dates are kept updated and organised in advance.
  8. Assist and maintain an up to date record of suitable training providers and courses to satisfy off the job training requirements.
  9. Assist with uploading online modules, identify new e-learning modules, and provide reports to ensure staff are completing online learning.
  10. Receive and distribute accurate training course certificates and scan/file away copies.
  11. Support with processing, recording and filing performance appraisals.
  12. Assist with the evaluation process for courses; input data and ensure appropriate action is taken where required.
  13. To answer the telephone in a professional and courteous manner and process messages.
  14. To assist and support staff and managers to gain their compulsory accreditations.
  15. To open, date, stamp and distribute mail accordingly within the department.
  16. Update and maintain filing system on a regular basis.
  17. Assist the Work Experience scheme within the Training/Personnel Department. Liaise with other departments regarding the students on placement.
  18. To assist in delivering the company induction for new employees.
  19. Any other tasks that may from time to time be required to ensure the effective delivery of training within Canary Wharf Group plc.
  20. General and ad hoc organisational duties and projects as directed by the Group Training Manager.

Environmental Responsibilities
All staff are required to follow the CWG environmental policies for minimisation of waste and effective energy management as defined in the CWG Environmental Manual and Company Environmental Plans.

Quality Management Responsibilities
All staff are required to comply with the CWG ISO9001 certified Quality Management System and the requirements detailed within Company Quality Manual, Policies and Procedures.

Person Specification
  1. A minimum of one year’s experience in an administration role is essential.
  2. Part CIPD qualified would be an advantage.
  3. Familiar with Learning Management Systems and e-learning platforms is desirable.
  4. Good working knowledge of Microsoft Word, Excel and Outlook.
  5. Flexible, organised and good timekeeping is essential.
  6. Must be a team player with a willingness to help others.
  7. A positive and helpful attitude towards work is essential.
