Control Centre Coordinator (Part time, 3 days per week)

Job Summary: To co-ordinate the activities of the building “Help Desk” and to assist the Building Manager and the Engineering Supervisor(s) with the monitoring of the building control and planned maintenance systems for the designated location(s).

Main Responsibilities
  1. To operate the tenant services system and to ensure that all calls received by the “Help Desk” are promptly and efficiently processed in accordance with the agreed procedures.
  2. To maintain excellent tenant relationships by the implementation of an efficient and polite telephone manner.
  3. To ensure that the required logs are maintained and processed in accordance with the agreed procedures. This will require the regular production of reports for processing by the respective Building Manager and/or Engineering Supervisor(s).
  4. To assist in monitoring the building control system and to ensure that any faults/alarms are immediately passed to the relevant supervising maintenance staff.
  5. To operate, on a day-to-day basis, the planned maintenance system and to allocate tasks to the Engineering/ Supervisor(s) teams. To ensure that all tasks are completed on a daily basis and the activities logged using the system for Tenant and planned/unscheduled maintenance.
  6. To issue and control “permit to work” documentation as directed by the Building Manager and Engineering Supervisor(s).
  7. To maintain the weekly time/payroll sheets for the building maintenance staff.
  8. To ensure that the Building Manager and/or Engineering Supervisor(s) are kept fully informed of all events.
  9. To carry out clerical duties and filing as required including assistance with typing/WP if appropriate.
  10. To be thoroughly familiar and comply with the Companies “Health & Safety” policy and procedures and to immediately report any hazards or infringements to either the Building Manager or Engineering Supervisor(s).
  11. To carry out other reasonable duties as requested by the Building Manager and Engineering Supervisor(s).

Health Safety and Welfare Responsibilities

Environmental Responsibilities
All Staff are required to follow the Canary Wharf Group plc (CWG) Environmental Policies for minimisation of waste and effective energy management as defined in the CWG Environmental Manual and associated documents

Quality Management Responsibilities
All staff are required to comply with CWG Quality Management System requirements detailed within the Company Quality Manual & Policies, and to ensure that all Procedure; Plans and Forms within InfoBase are effectively implemented to meet the set ISO 9001: Quality Management Standard.

Person Specification
  1. A thorough understanding and knowledge of the Concept SQL FM application is essential.
  2. Previous experience in operating a “help desk” service in an office/operational environment is essential.
  3. Minimum of 2 years’ experience gained predominantly in FM services and helpdesk management is essential.
  4. Computer literacy and knowledge of Word, Excel and Outlook is essential.
  5. Good planner and able to prioritise work activity. Team player equivalent with the ability to communicate effectively with both technical and non-technical personnel is essential.
  6. Knowledge of Permit to Work Procedures would be an advantage.
  7. The incumbent must have an appreciation of the importance of customer service and how this is applied in the context of Canary Wharf.
